1. Introduction

Welcome to Patchouli Yoga. We respect your privacy and are committed to protecting your personal data. This policy explains how we collect and use your information when you visit our Wix website, book a class via Setmore or Eventbrite, or sign up for our newsletter.

2. The legal basis for processing

  • Contract: To fulfil your booking.

  • Consent: For newsletter and photography.

  • Legitimate interests: To manage my business and transaction history.

  • Legal obligation: For keeping tax and insurance records.

3. Information we collect

Even if you do not fill out a form on our website, we collect data in the following ways:

 

  • Information you provide: When you book a yoga session via our third-party booking partner (Setmore, sometimes Eventbrite) or sign up for our newsletter, you may provide your name, email address, phone number, and any health/injury information relevant to your practice.
     

  • Automated information: Our website is hosted on the Wix.com platform. Wix automatically receives, collects, and records information including your IP address, login details, and session information (page response times, length of visits, etc.) via cookies and monitoring tools.
     

  • Payment information: A digital profile may be created automatically using our payment provider, Square. Usually, the information collected is the name on the card, the last four digits of the card, and an obfuscated (hidden) email address or phone number if you have used Square elsewhere.

  • Photography and media: From time to time, we may take photos or videos at events. We will only capture your image if you have provided explicit, recorded “opt-in” consent at the start of the session.

4. How we collect information

We collect personal information when you:

  • Complete a booking through our Setmore link, or Eventbrite.

  • Make a payment using our payment processor, Square.

  • Subscribe to our newsletter.

  • Browse our website (via cookies).

5. Why we collect information

We use your data to:

 

  • Provide and operate our yoga services.

  • Send class confirmations and updates via Setmore or Eventbrite. Some emails relating to your booking may also come through Mailerlite.

  • Send marketing communications and newsletters (only if you have opted in).

  • Comply with applicable laws and regulations.

  • Promotion: to share the spirit of our yoga community on social media, print or our website (only where explicit consent has been granted).

  • Complete payments, view your transaction history with us, provide receipts, manage our business records and provide customer support.

6. Third-party services

To provide a seamless experience, we share data with the following processors:

 

  • Wix: Our website host. They store your data on secure servers behind a firewall. Wix.com Privacy Policy

  • Setmore: Our booking system. When you click "Book Now," you are directed to their platform. Setmore’s Privacy Policy

  • MailerLite: Used to manage our mailing list. MailerLite Privacy Policy

  • Google Analytics: We use Google Analytics to help us understand how visitors interact with our site. This tool uses cookies to collect standard internet log information and visitor behaviour in an anonymous form. Google's Privacy Policy

  • Social media platforms: Our website includes links to our social media pages (Instagram and Facebook). When you visit these links, the respective platform may collect data about your visit. We also use these platforms to interact with our community. Please refer to individual privacy policies for how they handle your data. Meta Privacy Policy

  • Square Up Europe Ltd: We use this to process payments and manage our customer directory. Square privacy and security

  • Microsoft Outlook: This is my email provider. Microsoft privacy statement

  • WhatsApp: I may use this to send private messages and manage group chats. Group chats are opt in. WhatsApp Privacy Policy

  • Cloudflare: This is the provider of my custom website domain. Cloudflare's Privacy Policy

Many of the platforms I use integrate and talk to each other, acting as a single system. I build in safeguards to the best of my ability and knowledge to make sure nothing unexpected is happening to your information.

 

For example, when you sign up to a Setmore class or event, your name and email address is pushed to Mailerlite, on a list separate from my general mailing list. I'll give you the opportunity to actively opt in to other communications. I don't use that list for general newsletters unless consent has been given.

7. Cookies

Our website uses cookies to provide security, measure performance, and ensure our site functions correctly.

 

  • Essential cookies: Required for the site to work (e.g., security).

  • Analytical and performance cookies: Help us understand how visitors use the site.

8. Data retention

We retain your personal information only for as long as necessary for the purposes set out in this policy:

 

  • Mailing list: we will keep your email address on our mailing list for the duration of our business operations, or until you choose to unsubscribe.

  • Booking records: We keep booking and health information for seven years to comply with insurance and tax requirements.

  • Analytics: Technical data (IP addresses) is typically deleted or anonymised by Wix/Google after a short period.

9. Data transfers

As we use third-party platforms like Wix and MailerLite, your data may be transferred to and stored outside of the United Kingdom/European Economic Area. We ensure these providers maintain high standards of data protection.​

You have the right to:

 

  • Access the personal data we hold about you.

  • Request that we correct or delete your data.

  • Withdraw consent for our newsletter at any time by clicking "unsubscribe."

  • If you have concerns about our use of your personal data, you have the right to lodge a complaint with the ICO (www.ico.org.uk).
